Who we are
Eikoh Seminar Australia Pty Ltd (ABN 54 050 051 495) operates four early childhood education and care centres in northern Sydney: Normanhurst Child Care Centre, St Ives Chase Kindergarten, Roseville Kindergarten, and West Ryde Long Day Care Centre. References to “we”, “us”, and “our” in this policy mean Eikoh Seminar Australia Pty Ltd and its centres.
What information we collect
To provide childcare services, we collect personal information about children and their families, including:
- Child's full name, date of birth, photograph, gender, and Customer Reference Number (CRN)
- Cultural background, languages spoken at home, and Aboriginal or Torres Strait Islander status (where provided)
- Health information including allergies, medical conditions, immunisation status, action plans, and medications
- Parent/guardian names, contact details, addresses, employment, and emergency contacts
- Authorised pickup persons
- Court orders, parenting orders, and family law documents (where relevant)
- Photos and videos taken at the centre for documentation, programming, and (with consent) marketing
- Payment and billing information
- CCTV footage at some centres
For staff, we collect information needed for employment including identity documents, qualifications, Working with Children Checks, references, tax file numbers, superannuation details, and bank details.
How we use this information
We use personal information to:
- Provide childcare and educational services to your child
- Communicate with families about their child, the centre, and education-related matters
- Comply with legal obligations under the Education and Care Services National Law and Regulations, the Children and Young Persons (Care and Protection) Act, and CCS reporting requirements
- Process Child Care Subsidy claims with Services Australia
- Bill and collect fees
- Manage health and safety, including emergency response
- Document children's learning and development as required by the National Quality Framework
- Manage and improve our services
Who we share information with
We do not sell or rent personal information. We may share specific information with:
- Services Australia for CCS reporting
- NSW Department of Education and Children's Services for regulatory and compliance purposes
- NSW Health for immunisation reporting and infectious disease notifications where required
- The NSW Children's Guardian for Working with Children Check verification
- Emergency services if your child is unwell or injured
- Mandatory reporting bodies if we have reasonable grounds to suspect a child is at risk of significant harm
- Service providers we use including OWNA (centre management software), MYOB (accounting), email and phone providers, all bound by confidentiality and data security obligations
- Auditors and legal advisers as needed
Storage and security
We store personal information securely, with both physical and electronic safeguards in place. Most digital records are stored on Australian-based servers operated by approved service providers. Hardcopy records are stored in locked cabinets at the relevant centre or at our head office.
We retain personal information only for as long as required by law or for the purposes for which it was collected, and we securely dispose of records once they're no longer needed.
Your rights
Under the Privacy Act 1988 (Cth), you have the right to:
- Access the personal information we hold about you and your child
- Correct inaccurate, out-of-date, or incomplete information
- Withdraw consent for non-essential uses such as marketing photos
- Make a complaint about how we have handled your information
