How we enrol new children at our centres, from waitlist and tour through to enrolment forms, orientation visits and your child's first day.

ENROLMENT PROCEDURE
Aim
To ensure that each child's enrolment is completed as per our legal requirements. Additionally, we aim to ensure that each child and family receives an enrolment and orientation process that meets their needs, allowing the family and child to feel safe and secure in the level of care and education that we provide.
Implementation
Our education and care service welcomes visits and enquiries from prospective families and children.
Enquiries
By Visiting the respective Centre’s website
By Telephone: Information can be given about the centre verbally, posted out or emailed to prospective family. Families are welcome to visit the centre, but they need to make an appointment time with the Director that is mutually convenient.
At the Centre: All families need to make an appointment as the staffs' responsibility is with the children.
Visit to the Centre
After arranging a mutually convenient time with the Director families are given a tour of the centre which includes providing information about the cost and hours of operation of the centre, what the centre provides, our philosophy, staffing and qualifications (including an introduction to staff), programming and portfolios and answering any questions the family may have in relation to the centre i.e., administrative matters, family involvement, routines etc. Once a position is available for the child, a more comprehensive interview will be held with the Director and family to discuss in more detail information about the centre.
Waiting List
An application form must be filled out by the family. Families are then offered positions at the centre according to priority of access and date order. Enrolments will be accepted providing:
The maximum daily attendance does not exceed the approved number of places of the service.
Child:educator ratios are maintained across the service in each room.
A vacancy is available.
Priority of Access Guidelines
Children who are enrolled at the service or whose families are seeking a place at the service will be given priority of access in accordance with the guidelines below that have been established by the Federal Government:
A child at risk of serious abuse or neglect.
A child of a parent (or both parents if you have a partner) who satisfies the Government's work, training, study test.
Any other child.
Within these 3 priority categories, precedence should also be given to children in:
Aboriginal and Torres Strait Islander families.
Families which include a person with a disability.
Families on lower incomes.
Families from culturally or linguistically diverse backgrounds.
Socially isolated families.
Single parent families.
If a placement becomes available, the Director will contact the family and offer them a position at the centre.
Enrolment and Enrolment Interview
The Director will conduct an enrolment process following the acceptance of an offer.
All new families to the centre will receive a link to the OWNA App, which will provide families with access to the services enrolment form, to be completed before the child begins at the centre.
The service will ensure that the following information is loaded to OWNA for families to be able to read and access at any time.

During the enrolment interview, a process of orientation will be planned in collaboration with families to provide the best possible start for the child at the centre.
Families will provide the following, prior to the agreed start date for the child
A completed enrolment form, including authorisations.
Holding fee payments as outlined in our Fees Policy.
Current Immunisation History Statement.
Birth certificate, passport, or other identification.
Current contact information for parents and emergency contacts.
If applicable, information on child's additional requirements (including medical conditions, health, and developmental concerns).
Parent interest information/ cultural background information sheet.
Individual routine form (0-2 years only).
Dietary Requirements form.
Child interest form.
Questionnaire regarding celebrations at home.
Parent evaluation of orientation process form.
Child Care Subsidy Information (Customer Reference Numbers for Child and Parent claiming CCS, Date of Birth of parent claiming CCS).
Complying Written Arrangement signed by parent to be signed via the centres App.
This information will be kept at the centre premises in accordance with centre polices and the Education and Care Services National Regulations.
At this enrolment interview families will be shown where to sign in and out, introduced to staff in their child's room, have any questions or concerns raised and answered and shown where to put their child's belongings. Families will be encouraged to spend time at the centre with their child before leaving them at the centre on their first day.
The Director will ensure that all the appropriate paperwork and documentation has been collected from the family prior to their child commencing at the centre.
Prior to the child formally commencing at the centre
Staff will familiarise themselves with information about the child from the enrolment information provided. They will ensure they are aware of any medical conditions and how to manage them if required.
The Director will inform the staff of the intended time of any pre-commencement orientation visits. During these orientation visits a family member will remain on the premises with the child. The child cannot be left at the centre until they have formally commenced at the centre.
During the orientation process educators and staff will interact with the child and actively encourage them to engage in the centre program and activities. They will also be available to the family to answer any questions they may have.
First Day
On the child's first day:
Welcome the family and child by name.
Ensure that the family has signed in and know where to put their child's belongings.
Educators will reassure the family and assist with separation if required. Families are welcome to stay as long as they like or telephone during the day to see how their child is going.
The Director will undertake a final check of enrolment details, authorisations and information updates prior to the family departing the centre.
Re-enrolment
Families are required to re-enrol their child/children each year. Families at the service will be provided with a re-enrolment survey which needs to be returned by the due date. The service will then send out an enrolment offer letter outlining the days your child/children will attend and the enrolments fees payable. If you do not return your enrolment letters and deposits by the due date we cannot guarantee your child’s position for the following year and the position may be offered to another child.
